CANCELLATION AND REFUND POLICY
1. Introduction
Nature Pulse Expeditions (“Nature Pulse Expeditions”, “we”, “us”, “our” or “the Company”) understands that travel plans may change.
This Cancellation and Refund Policy explains the conditions under which customers may cancel, postpone or modify bookings and the circumstances in which refunds may be available.
This policy applies to bookings made directly with Nature Pulse Expeditions unless different cancellation conditions are expressly stated in the customer’s booking confirmation or imposed by a third-party booking platform.
Where a booking is made through an online travel agency or booking platform, the cancellation and refund rules displayed on that platform may apply.
2. Booking Confirmation
A booking is considered confirmed when:
- Nature Pulse Expeditions has accepted the booking; and
- The required deposit or full payment has been received, unless otherwise agreed in writing.
The booking confirmation will specify the applicable payment and cancellation conditions where they differ from this general policy.
3.Cancellation by the Customer
Cancellation requests must be submitted in writing by email, WhatsApp or another communication method accepted by Nature Pulse Expeditions.
The cancellation date will generally be the date on which the written cancellation request is received and acknowledged by us.
Unless otherwise stated in the booking confirmation, the following general cancellation schedule applies:
3.1. Cancellation More Than 60 Days Before Departure
Customers cancelling more than 60 days before the scheduled departure date may receive a refund of amounts paid, less:
- Any non-refundable fees;
- Bank or payment processing charges;
- Third-party cancellation charges;
- Any accommodation, park, transport or service costs that cannot be recovered.
Where reasonably possible, we may offer the customer the option to transfer the booking to another date instead of requesting a refund.
3.2. Cancellation 31–60 Days Before Departure
For cancellations received between 31 and 60 days before departure, Nature Pulse Expeditions may retain up to 30% of the total booking value, together with any non-refundable third-party costs.
The remaining eligible amount may be refunded.
3.3. Cancellation 15–30 Days Before Departure
For cancellations received between 15 and 30 days before departure, Nature Pulse Expeditions may retain up to 50% of the total booking value, together with any non-refundable third-party costs.
3.4. Cancellation 8–14 Days Before Departure
For cancellations received between 8 and 14 days before departure, Nature Pulse Expeditions may retain up to 75% of the total booking value, together with any non-refundable third-party costs.
3.5. Cancellation 7 Days or Less Before Departure
For cancellations received seven days or less before departure, or where a customer fails to arrive for the scheduled tour, the booking may be considered non-refundable.
However, Nature Pulse Expeditions may, at its discretion, consider a partial refund or date change depending on the circumstances and recoverability of supplier costs.
4. No-Show
If a customer fails to attend a scheduled tour, safari, transfer or activity without providing prior notice, the booking will normally be treated as a no-show.
No refund will generally be provided for no-shows.
A customer who arrives late and misses a scheduled departure may also be treated as a no-show if the tour cannot reasonably be delayed.
5. Late Arrival and Missed Flights
Nature Pulse Expeditions is not responsible for costs resulting from:
- Missed flights;
- Flight delays;
- Delayed baggage;
- Incorrect flight information;
- Failure to arrive at the agreed pickup location;
- Traffic or transport delays outside our reasonable control;
- Failure to obtain required travel documents.
Where possible, we will make reasonable efforts to assist customers affected by travel delays.
Additional costs resulting from such circumstances may be charged to the customer.
6. Date Changes and Postponements
Customers may request to change their travel dates.
Date changes are subject to:
- Availability;
- Accommodation availability;
- National park availability;
- Transport availability;
- Supplier terms;
- Seasonal pricing;
- Changes in government or park fees.
A date-change fee may apply.
If the new travel date has a higher price, the customer may be required to pay the difference.
If the new travel date has a lower price, any refund or credit will be subject to applicable supplier conditions.
7. Cancellation by Nature Pulse Expeditions
Nature Pulse Expeditions reserves the right to cancel, modify or postpone a tour where reasonably necessary due to circumstances including:
- Safety concerns;
- Severe weather;
- Natural disasters;
- Government restrictions;
- Park closures;
- Political or civil disturbances;
- Road closures;
- Transport disruption;
- Accommodation closure;
- Force majeure events;
- Other circumstances beyond our reasonable control.
Where we cancel a tour for reasons within our reasonable control, we will make reasonable efforts to offer:
- An alternative date;
- An alternative itinerary;
- A replacement service; or
- An appropriate refund.
Where cancellation results from force majeure or circumstances outside our reasonable control, refunds will be subject to amounts recoverable from suppliers and third parties.
8. Partial Use of a Tour
Once a tour has commenced, refunds will generally not be provided for unused portions of the itinerary resulting from:
- Voluntary withdrawal by the customer;
- Change of personal plans;
- Late arrival;
- Early departure;
- Missed activities;
- Failure to participate in included activities.
Exceptions may be considered where the unused service is cancelled by Nature Pulse Expeditions or where a refund is required under applicable law.
9. Accommodation and Third-Party Services
Accommodation providers, airlines, national parks, transport providers and other suppliers may have their own cancellation policies.
Where these providers impose non-refundable charges on Nature Pulse Expeditions, those charges may be deducted from any refund due to the customer.
10. Refund Processing
Approved refunds will normally be processed using the original payment method where reasonably possible.
The time required for the refund to reach the customer may depend on:
- Banks;
- Credit-card companies;
- Mobile-money providers;
- Payment processors;
- International transfer systems.
Nature Pulse Expeditions is not responsible for delays caused by external payment providers.
11.Travel Insurance
We strongly recommend that all customers obtain comprehensive travel insurance before travelling to Tanzania.
Travel insurance should ideally cover:
- Trip cancellation;
- Trip interruption;
- Medical expenses;
- Emergency evacuation;
- Personal belongings;
- Lost or delayed baggage;
- Flight disruption;
- Personal liability;
- Other travel-related risks.
Customers are responsible for ensuring that their insurance adequately covers their individual circumstances and activities.
12. Exceptional Circumstances
We understand that cancellations may sometimes result from serious or unexpected circumstances.
Nature Pulse Expeditions may consider exceptional circumstances on a case-by-case basis, including:
- Serious illness;
- Death of an immediate family member;
- Major travel disruption;
- Government travel restrictions;
- Other significant circumstances.
Supporting documentation may be requested.
Any exception remains subject to recoverability of third-party costs.
13. Refund Disputes
If you believe a refund has not been calculated correctly, please contact us promptly with your booking details.
We will review the matter and provide an explanation of the applicable cancellation terms.
